Tennis Club Manager
Tennis Association in Chicago, IL is looking for a Tennis Club Manager.

Position Overview:
Tennis Association is seeking a club manager for a private/ public outdoor tennis facility in Chicago. This is a semi-seasonal role managing the daily operations associated with 10 Har-Tru courts (6 private, 4 public) from April to October (occasional off season responsibilities) in beautiful Lincoln Park located in Chicago, Illinois, near Lake Michigan.

The club manager (CM), with the oversight of the club president and the board, and support of an assistant manager and a grounds manager, will be responsible for managing all aspects of the Tennis Association and Tennis Center including activities and the relationships between members, guests, employees and vendors. The CM will provide input on and monitor the budget, quality of Tennis Association and Tennis Center services and, work to ensure member/ customer satisfaction. S/he will also secure and protect Tennis Association assets, including facilities and equipment. General duties include oversight of daily operations, including staff, court scheduling and maintenance, and policy enforcement on both the Tennis Association courts side (“private”) and the four courts (“public”) reserved for non-member use. As the face of the Club, the CM will implement and enforce general policies established by the Board of Directors. Effective communication and interpersonal skills are critical along with the ability to be positive, creative, energized and passionate about the facility and ways to improve operations. Supervision, development and mentorship of staff is imperative. The CM reports directly to the club president and works with Board members to offer a quality tennis experience to the membership and strives to ensure Club operations provide a positive club experience for all members and guests. Providing excellent customer service to encourage repeat business and membership retention is necessary.

Major Duties & Responsibilities
● Maintain an excellent relationship with the Chicago Park District (CPD) to ensure their ongoing support and meet Tennis Association contractual obligations
● Maintain a presence at Tennis Association / Tennis Center a minimum of five days per week including some weekend days and weekday evenings; ensure days off are adequately staffed and managed
● Accessible by phone outside scheduled hours to address any critical issues that arise Membership and Member Experience
● Act as the face of Tennis Association / Tennis Center and ensure members, guests and customers have a consistently high quality experience with each visit
● Demonstrate a personal commitment to professionalism and customer service in interactions with all members, guests and customers and set an example for staff and members to follow
● Ensure fair and timely assignment of courts to members and Tennis Center customers including the collection of court and guest fees. Keep accurate record of court assignments for both Tennis Center and Tennis Association
● Ensure timely communication with members including daily updates, weather and court conditions, club events and other key issues/ requests
● Assist Membership Chair in promoting Tennis Association to all potential candidates including the integration of new members to the Club. Identify inactive tennis players and re-engage them in appropriate programs.
● Oversee the organization, preparation and staffing of all member events holiday BBQs and other member events, club tournaments and matches
● Maintain strong professional relationships with Tennis Center group sponsors, pros, children’s groups and long term Tennis Center customers
● Work with Tennis Center pros to organize and provide oversight to the CPD children’s groups to assure optimal participation and CPD satisfaction
● Act as the key point of contact for quickly and efficiently hearing and resolving questions, comments and concerns raised by members and customers. Tennis Courts & Facilities
● Ensure all tennis facilities and equipment are clean, organized and in good working condition
● Monitor court conditions and schedule court maintenance/ resurfacing with external providers as necessary to optimize quality and durability
● Direct and supervise staff to create optimal playing conditions on all courts from opening through closing including sweeping, lining, watering, monitoring Hydrocourt controls to adjust to conditions impacting court quality and ensure an adequate supply of drinking water on each court
● Ensure all grounds, facilities and locker rooms are well maintained and adequately stocked
● Assess inventory of food, drinks and supplies, prepare purchase list to assure adequate quantities on hand at all times
● As needed and, if appropriate, work with the Social Committee, define purchasing requirements for scheduled club events
● Maintain excellent relationships with all Tennis Association suppliers to ensure timely, high quality support when needed Marketing & Promotion
● Conduct marketing activities to generate new Tennis Association members and new Tennis Center customers and ensure all marketing information is up-to-date and accurate
● Coordinate with the Technology and Communications Committee to guide information posted on the Tennis Center web-site, define functional requirements for any new systems, provide content for the monthly newsletter and ensure a timely response to all web-based inquiries
● Direct promotional effort aimed at involving current members with programs, tournaments and special events, fully utilizing available marketing support and tools
● Ensure tennis pros and staff are promoting tennis programs, lessons, court time, equipment, etc., supporting them in their efforts and encouraging repeat business Financial & Budgetary
● Responsible for monitoring monthly and annual revenue goals for both Tennis Center and Tennis Association. Maintain a detailed accounting of financial results (income & expenses) and participate in monthly financial meetings with the club treasurer
● Actively manage expenses for both Tennis Center & Tennis Association, including tennis pros, staff, and supplies, while reducing or eliminating non-essential expenses
● Work with the president and treasurer to develop a budget for all operating revenue and expense line items for which this position is accountable
● Negotiate/ renew contracts with all vendors and schedule maintenance and/ or installation services to ensure readiness for season opening Managerial & Supervisory Pre-Season
● Determine staffing requirements and budget with the president and treasurer
● Source, interview and hire appropriately skilled staff to fill all full and part-time positions by opening of the tennis season in May and prepare and maintain all employee paperwork.

In-Season:
● By opening day, train all staff (or ensure they are trained) to have a clear understanding of their key functions, roles and responsibilities
● Through the season develop staff through orientations, direction and feedback, assess individual performance, and provide employee recognition
● Ensure all staff members demonstrate a commitment to member and customer satisfaction
● Prepare detailed staffing plans to assure proper coverage of all shifts and adherence to the budget. In addition, assure adequate staffing for all scheduled Tennis Association events
● Determine hours worked for all staff and submit payroll on a timely basis
● Resolve any staff performance issues on a timely and professional basis
● Maintain a strong working relationship with the head tennis pro (who reports directly to the Tennis Association president)
● At end of season, provide an overall performance review for each staff member and make a determination if the staff member should be invited to return the following year
● Arrange and Facilitate staff meetings pre-season, mid-season and at seasons end Attend board meeting as requested by the president as well as the Club annual meeting Post-Season
● Contact all appropriate vendors/ CPD to schedule activities necessary to shut down the club within 1-3 days after closing date
● Close up club facilities (Tennis Association clubhouse, Tennis Center trailer, locker rooms) to ensure safety and security during the off-season Safety
● Comply with all safety rules
● Report accidents and injuries to president as soon as possible
● Participate in safety training and safety inspections
● Suggest methods of preventing hazards

Qualifications
Education
● High School diploma or GED
● College degree in Sport, Recreation or Tennis Management or hospitality management or an appropriate related field preferred
CPR/AED certification earned prior to start date Experience
● 5+ years of related experience

Physical Requirements
● Requires adequate physical fitness and ability to withstand summer heat and exposure to environment changes when working outside
● Adequate fitness to sometimes operate equipment and maintain facilities and courts
● Vision must be sufficient to operate a computer or tablet
