Director of Operations: Men’s and Women’s Tennis
University in Seattle, Washington is looking for a Director of Operations: Men’s and Women’s Tennis.

Position Overview:
The Director of Operations will report to the head coaches for the Men’s and Women’s Tennis programs and the Assistant Athletic Director for Sport Operations. The Director of Operations will manage the daily operations of the University’s NCAA Division I Men’s and Women’s Tennis programs and coordinate operations for the Tennis Center.

Operations for Intercollegiate Men’s and Women’s Tennis Programs
• Manage the daily operations of the Men’s and Women’s Tennis teams.
• Hire and supervise team managers and interns/hourly employees in a wide variety of tasks (e.g., recruiting activities and materials, alumni relations and fund-raising events, travel itineraries, alumni and scouting databases). Coordinate facilities for game and practice sessions.
• Manage and monitor the Men’s and Women’s Tennis annual operating budget. Includes team travel, scholarships, housing, meals, parking, recruiting travel, supplies, equipment, visiting recruits, awards and team banquets. Responsible for annual budget forecasting and projecting. Develop a proposed annual budget for the Men’s and Women’s Tennis programs each year for review by the head coaches and for submission to the athletics department administration. Develop annual budget reports and spreadsheets (budget requests, projections, annual reports). Monitor all program expenditures during the year.
• Direct and manage all aspects of team travel. Make all decisions regarding reservations and costs for airline travel, charter buses, hotels and meals. Counsel student-athletes regarding travel schedule and how to communicate with professors to resolve issues related to missed class time and conflicts with mid-term and final exams. Follow up with student-athletes to ensure they have communicated with professors about class absences missed exams related to team travel. Manage interns and hourly workers in their creation of detailed travel itineraries for each road trip. Coordinate with both head coaches prior to the season to decide which road trips will include travel by the Director of Operations.
• Negotiate contracts for pre-season housing and meals with Housing and Food Service and some outside vendors. Develop a plan for all pre-season and pre-game meals in collaboration with ICA nutrition staff.
• Coordinate event management and set up for intercollegiate tennis matches, manage replay systems, hospitality, schedule and coordinate match officials.
• Schedule and direct “Day of Game” meeting before the start of the season to coordinate all departments that work the day of games. Arrange logistics of visiting teams, officials and all working personnel.
• Develop and implement comprehensive annual fund-raising programs. Serve as liaison to the development staff regarding donor relations and events.
• Develop and implement comprehensive annual community service program for the sport programs.
• Work with marketing and ticketing on group ticket sales. Communicate and/or meet with junior leagues, high school coaches, former campers, and alumni to sell group tickets. Actively pursue marketing ideas within the community to create relationships with both Men’s and Women’s Tennis programs.
• Develop content for recruiting mailings and manage interns/hourly workers in their creation of such content. Determine itineraries for official visits.
• Serve as liaison with the ICA Compliance office regarding all incoming student-athletes (freshmen and transfers) to aid in ensuring that all NCAA and Pac-12 initial eligibility rules, as well as UW admissions procedures, are administered in a timely manner. Ensure they are certified eligible by the NCAA Eligibility Center prior to enrollment. Interact regularly with incoming student-athletes, their parents, and their high schools/two-year colleges, to obtain necessary admissions and eligibility documentation. Counsel all incoming student-athletes about University Housing application procedures and requirements and securing on-campus housing upon enrollment. Monitor academic progress of student-athletes to ensure they are making academic progress under institutional and NCAA regulations.
• Manage walk-on tryouts and coordinate all paperwork required for tryouts to meet NCAA and institutional requirements.
• Develop and improve a comprehensive alumni relations program with a goal of increasing number of alumni actively involved in the sport programs.

Tennis Center Operations
• Under the direction of the Assistant Athletic Director for Sport Operations, coordinate daily operations of the Nordstrom Tennis Center. Manage and coordinate scheduling for all uses of the facility. Coordinate and support all facility operational projects and enhancements.
• Provide event management support for public tennis matches. Manage set-up, schedule, and coordinate match officials, manage replay systems, provide hospitality.
• Hire and supervise interns/hourly employees who support tennis center operations. Monitor and track annual operating budget, collaborate with Assistant Athletic Director for Sport Operations on plans to increase revenue generation.
• Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.

Required Qualifications:
• Bachelor’s degree and two years of work experience in college/professional athletics or related experience.
• Must be proficient in computer skills including MS Word, Excel, Publisher, and PowerPoint.
• Strong organizational and communication skills; demonstrated experience in coordinating office management and professional quality writing skills.
• Will require work during evenings and weekends and travel as needed.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired Qualifications:
• Master’s Degree preferred.
• MovieMaker, Adobe Photoshop and Premier Pro, Marketo and graphic design capabilities desired.
